Workshop Costs & Break-even

When is this template useful?

Before confirming a craft workshop, check whether paid bookings cover the venue, instructor and materials. This template separates one-off costs from costs per person. It answers both “What is left at this attendance?” and “How many people do I need to break even?”

Which numbers do you enter?

This illustrative US example uses US dollars (USD). These are simulated inputs, not market prices. To use another currency, replace all monetary inputs and labels consistently; the canvas does not convert currencies.

The example starts with 12 paid participants. Enter the actual amount received per ticket, materials per person, venue fee and instructor fee. Attendance must be a nonnegative whole number; all fees must be nonnegative. The ticket price must be greater than the materials cost per person. These constraints require your own check; the canvas does not enforce them.

How does the calculation work?

Fixed costs = venue + instructor. Revenue = ticket price × paid participants. Materials total = materials per person × paid participants. Balance = revenue − materials total − fixed costs. Minimum attendance = fixed costs ÷ (ticket price − materials per person), rounded up to a whole person. People above minimum = attendance − minimum attendance; a negative result means more bookings are needed.

300 ÷ (45 − 15) = 10

The SBA break-even explanation uses fixed costs divided by the unit contribution. For people, round upward: if the calculation gives 10.1, at least 11 paying participants are needed.

Compare 8, 10 and 12 participants

Change only attendance from 12 to 8. The venue and instructor fees stay fixed; revenue and materials change together. The table also shows the break-even point. A positive balance is a surplus on the listed items, not a guarantee of net profit.

What are the limits?

• Use one actual ticket price, with all counted participants paying it. Discounts, platform charges, refunds and taxes are not automatically handled. Include every applicable cost consistently before relying on the balance.

• Materials vary directly with attendance only when they can still be bought in the required quantity. Already purchased, nonrefundable materials do not disappear when a participant cancels; minimum purchase quantities also need a different calculation.

• The same venue and instructor must serve the entire group. If a larger group needs another room or instructor, update fixed costs. Capacity, promised delivery and your own pay still matter when deciding whether to run the class.

Common questions

What if the minimum exceeds the room’s capacity?

The class cannot cover these costs within that capacity at the current price. Reconsider the venue, fees or ticket price, then recalculate. Do not treat a threshold outside the feasible group size as permission to overbook.

What if the ticket price equals or falls below materials per person?

There is no positive contribution toward fixed costs. The minimum-attendance formula is outside its valid domain and must not be interpreted as a useful headcount. Raise the actual ticket price, reduce variable costs or revise the model first.

How do I edit and keep my class plan?

How to import your template

1. Save the file. Choose Download template and save the .calvx file to Files on your iPhone or iPad. From a computer, you can send it to your device with AirDrop.
2. Open Import. In All Canvases in Calvance, tap the add button to open the template screen, then choose Import.
3. Choose the file. Select the saved .calvx file to create your own canvas. Importing uses one canvas from your allowance.
4. Edit and check. Check the results against the worked example, then add your numbers. Duplicate the canvas to keep different versions.
